How do I save an edit to an article that is stuck checked out?

Environment:

  • Oracle B2C Service sites with Knowledge Advanced provisioned
  • All versions
  • Authoring console
  • Article editing
Issue:

An author is trying to save an edit to an article and receives the following error message:

"This record cannot be updated. Possible causes: 1. Content does not exist ; 2. It is locked or being updated by another user; 3. It is not the latest version"

The content type does not have checkout enabled.

Cause:

The document was checked out, even though checkout was disabled for the content type.

Resolution:

An administrator can temporarily enable checkout for the content type and check the document back in.

  1. In Authoring, navigate to Repository > Content Types > List.
  2. Click on the name of the content type associated with the document.
  3. Check the box "Enable Check Out/In" and save.
  4. Still in Authoring, open the document.
  5. In the document properties, click "Clear Check Out" or "Check In"
  6. At this time you may wish to use Find to locate any other affected documents and clear their checkout.
  7. Repeat steps 1-3, this time unchecking the box, to return to your prior configuration.
Notes:

One way this can happen is if some documents are already checked out and the option is changed in the content type to no longer allow checkouts.
